• Must be able to manage both clinical and business personnel in accordance to policies/procedures set forth by AdventHealth Ottawa.

• Oversight of ordering clinic medical and business supplies
• Manage day to day finances of clinic operations; including approval of invoices in pertinent software
• Run/manage reports for physician communication in monthly meetings
• Adhere to Rural Health Clinic (RHC) standards, as directed by Administration/physician enterprise
• Maintenance of clinic schedule (both provider clinic schedules and staff schedules) â“ assuring clinic is staffed at the appropriate level(s)
• Understanding of necessary testing, coding and documentation requirements for specialty
• Complete necessary paperwork (forms) for staffing clinic as well as security of clinic personnel â“ this requires an understanding of software to maintain these elements
• Completion of call schedule(s) for clinic
• Attendance at required manager meetings
• Oversight of RHC programs â“ assuring timely completion of necessary documentation, and pertinent follow-up of patients in a timely manner
• Must be able to type
• Ability to understand patient accounting related to patient bills including insurance requirements, co-pays, deductibles and co-insurance requirements
• Conducts regular staff meeting

The Practice Office Manager is responsible for managing all business and clinical elements of the practice.  Responsibilities include all resources and functions as they relate to both direct and indirect patient care.  The manager is responsible for the oversight of ordering medical and clinic supplies.  Also, responsibilities include quality assurance, OSHA standards, and safety standards for the clinic.  Maintenance of clinical and business equipment are the responsibility of the manager.

The Practice Office Manager is responsible for the day to day operations of the clinic.  Ongoing staff  training and development are the responsibility of the Clinic Manager, and excellent communication is required to assure we are in compliance within our clinics.  This position is directly responsible for the hiring, firing, progressive discipline and staff evaluations. 

Fiscal responsibility is coordinated between the manager and Director, and the manager should timely complete invoice review and approval for next step.  Coordination of budgets is done in conjunction with the Director(s). 

Knowledge of software systems, including electronic health record is critical to the success of the position.  The position requires the individual to be instrumental in streamlining processes while promoting quality healthcare and increased patient and employee satisfaction.
